Steps to Write a Director Resignation Letter
Step 1: Creating the Basic Structure
Open your favourite document editor (MS Word, Google Docs, etc.) and create a new document. Start from the left-hand side and write the name of the executive director or any other person who is at a higher position than you. On the next line write his designation, followed by the company name and the company address each in separate lines.
Step 2: Say That You Want to Resign
Start with Dear Mr (Name of the person to whom you are writing this letter), as you normally would in case of starting any letter. Put a comma after that and on the next line inform the person that you would like to resign. Also, let the person know that you deeply regret the decision but would have to go forward with it anyway.
Step 3: Talk About Your Experience
Let the person know how wonderful it has been working in the company. Then reiterate the fact that you would have liked to continue working in the company but circumstances have compelled you to resign. The aim here is to not offend the person or anyone in the company and rather make him understand your position.
Step 4: Elaborate On Your Problem
This is an optional step. But if your problem is not too personal then it is a good idea to elaborate on your problem. However, it is probably not a good idea to describe your problem in too much detail. This is just to let the person understand your problem and could be as simple as the fact that your other (personal) responsibilities are taking too much of your time.
Step 5: Continue to Show Support
Since the company vests quite a large number of important responsibilities on the director it is obvious that the company would be much inconvenienced at your resignation. Thus it becomes a sort of an obligation on your part to extend your services till they find someone to fill up your position. This is considered as a professional courtesy.
Step 6: Sign off
In the last step, you should tell the person to whom you are writing to that you wish the company the best in its future endeavours. It is also a good time to apologize for the inconvenience that your resignation will be causing the company. On the next line write ‘Yours sincerely’ followed by your full name on the next line.
